What AI Tools Do Real Estate Agents Actually Use?

facebook instagram social media Sep 22, 2026

According to NAR's own 2025 Technology Survey, over half of agents have already used AI tools, and roughly one in five are using them daily. So I don't think the real question is whether agents are using AI anymore. It's which tools, and what they're actually doing with them day to day. Here's my honest breakdown.

What Claude and ChatGPT Actually Do for Me as an Agent

I use both Claude and ChatGPT, and I think about them less as software and more as a second brain sitting next to me while I work.

With Claude, I can hand it a sales contract and ask it to pull out the important dates, so I'm not manually combing through pages to build a timeline myself. I can ask it to pull together a real snapshot of where my business actually stands, my active transactions, what's pending, what needs attention, instead of trying to hold all of that in my head. I've also had it build me actual tools I use in my business, things like a transaction coordinator checklist, straight from an uploaded contract. And because it remembers context from our past conversations, I'm not starting from zero and re-explaining my business every time I open it back up.

ChatGPT has grown into a similar kind of partner for me. I can talk to it out loud instead of typing, which matters a lot when I'm brainstorming on the go between showings. I can upload something like a spreadsheet of comps, a home inspection report or a piece of paperwork and just ask it questions about it in plain language instead of digging through it line by line myself.

Neither of these is a gimmick to me anymore. They're the tools I actually reach for when I need to think through a marketing plan, get through paperwork faster, or make sense of a business that has a lot of moving parts on any given day.

How I'm Actually Using These Tools in My Business

I use AI as a creative thinking partner. A brainstorm partner. Honestly, I'd say AI is doing about seventy five percent of the heavy lifting in a lot of my work now, and I'm doing the remaining twenty five percent. Even with everything these tools can do, that human piece still matters enormously. This was never about replacing agents. It's about giving myself and our members back hours in the day that used to go to things that didn't need to take that long.

Here's what that actually looks like for me:

  • I've trained it to sound like me, using real prompts built around my own voice, so it can help me think through marketing the way I would think through it myself
  • I feed it a contract to pull out important transaction dates, always removing any sensitive personal information first
  • I use it to get a full picture of my business on any given day, pulling from my CRM and my active sales
  • I've built a transaction coordinator checklist this way, straight from an uploaded contract
  • Once I trained it with everything I know about real estate and my specific niche, I started using it to create ongoing content, social posts, emails, the kind of writing I'd actually put my name on
  • I've set it up through Claude Cowork to consistently research what my niche market, first-time home buyers, for example, is actually Googling, so I can build content around real questions people are asking

The Real Reason I See Agents Get Bad Results

The biggest hesitation I hear from agents comes down to one of three fears: that AI is going to replace them, that they'll come across sounding like a robot, or that it just produces generic AI slop that nobody would actually post.

Here's the honest truth about that last one, from what I've seen. AI is only as good as what you actually give it. If you don't take the time to train it and feed it your real information, it goes and pulls from other sources online instead, and what comes back doesn't sound like you, because it isn't you. I don't think the fix is a fancier tool. I think the fix is putting in the time upfront, the same way you'd train a new assistant.

What It Looked Like When I Actually Trained Mine

I gave Claude a set of interview questions designed to pull real information out of me, my market, how I do things, my experience, and what my voice actually sounds like when I'm speaking instead of typing. I did this out loud, talking into my computer, and that mattered more than I expected. People talk differently than they type. Speaking it out, let the tool pick up my actual lingo and the phrases I really use, instead of a cleaned-up written version of me.

The output started sounding just like me once I put in that time. When it didn't quite land, I kept tweaking it. And the piece I'd tell anyone not to skip is asking it to save that information once you've got it right, so you're not rebuilding this from scratch every time you sit down to work.

How You Can Start Training Yours Today

Here's a real prompt you can copy right now and use to get started. Paste it into Claude, and answer out loud instead of typing:

"I want you to interview me so you can learn my voice and my business, and use that to help me create real estate content going forward. Ask me these questions one at a time, and wait for my answer before moving to the next one:

  1. Who are you, and how long have you been selling real estate?
  2. Who do you serve, what's your specific market, niche, or ideal client?
  3. Why did you get into real estate, and why do you still do it?
  4. How would you describe your personality and tone, and what are some words or phrases you actually say a lot?
  5. What makes you different from other agents in your market, and what do clients say about working with you that you're proud of?

Once I've answered all five, save this information so you can use it every time I ask you to help me create content, write an email, or market a listing, without me having to repeat it."

The Bottom Line

I'm not using AI to replace myself, and I don't think any real estate agent should be trying to. I'm using it to extend my own thinking, train it to sound like me, and hand off the work that used to eat my whole day so I have more time for the parts of this job only I can do. You don't have to figure all of this out on your own either. Inside Content to Closings, we've already built this into the tools our members use every day, so you get the benefit of everything AI can do without having to build it yourself from scratch.
